Job Description

**** Applicants seeking short-term or part-time work with the University of Hawai’i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits as provided to regular Board of Regents (BOR) and Civil Service employees (i.e. paid holidays/leave). Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Other Conditions: 

Vacancy is for two (2) temporary, casual positions. Positions are expected to begin January 2022 or as mutually acceptable. The work schedule is based on the Department of Dental Hygiene (DDH) Clinic hours. Incumbents will be assigned in the morning or in the afternoon (alternating shifts) throughout the duration of the appointment, Monday through Friday, between the hours of 7:45 a.m. and 4:45 p.m.  Clinic hours vary each semester.

Duties and Responsibilities:

  1. Develops and manages the DDH Clinic calendar including scheduling and intake of patients, and making student unit assignments.
  2. Manages patient records and ensures compliance with HIPAA rules and regulations.
  3. Monitors operational activities in the DDH Clinic including implementation and compliance with COVID-19 protocols.
  4. Collects and processes patient fees, and manages DDH Clinic bookkeeping records.
  5. Independently anticipates and identifies issues and problems to report to and resolve with the DDH Program Administrator.
  6. Maintains databases and prepares summary reports of DDH Clinic utilization.
  7. Maintains and monitors inventory of clinical equipment and supplies; works with Administrative Officer to facilitate procurement of equipment and supplies.
  8. Other duties as assigned.

Minimum Qualifications:

Education and Professional Work Experience

  • Possession of a baccalaureate degree in business administration, social science, education, or related field and 1 year of progressively responsible professional experience with responsibilities for project management and office management; or equivalent education/training or experience.

Knowledge, Skills and Abilities

  • Considerable working knowledge of principles, practices and techniques in the area of project management/office management as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies;
  • Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with project management/office management;
  • Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner;
  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials;
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals;
  • Demonstrated ability to operate a personal computer and apply word processing software;
  • For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.

Desirable Qualifications:

  • Program or office management experience for a dental or medical practice office.
