The Executive Assistant is a member of the Hotel Executive Operations Committee and the first point of contact for the Hotel’s Executive Office. The role represents the company in a positive manner ensuring attitude and communication towards all key stakeholders is reflective of AccorHotels values-Guest Passion, Trust, Sustainable Performance, Spirit of Conquest, Innovation and Respect at all times.

Responsibilities include but not limited to:

  • Greets guests and clients to the Executive Office in a welcoming manner
  • Answers and effectively manages all telephone inquiries for the Executive Office and, where required, takes messages to be actioned by the General Manager, Hotel Manager and Department Heads ensuirng these are followed up upon
  • Receives and manages complaints within scope of capacity, referring to appropriate Department Head or Executive Operating Committee Member enuring follow-up and resolution
  • Handles all incoming/outgoing correspondence for the General Manager and Hotel Manager i.e. reports, forms, emails, courier requirements, facsimile messages, and composition of letters- including editing/proofreading, spelling, punctuation, etc. of all written material.
  • Manages the distribution of all on-line and written guest feedback to departments and, where required, follows up with Department Heads ensuring action is taken on feedback
  • Prepares, distributes and tracks Special Request Forms for guest amenities and welcome cards on behalf of the General Manager and Hotel Manager

Qualified candidates must possess:

  • Minimum two years of experience in Hawai’i working in a similar role and size/type property
  • A highly effective relationship builder and communicator who maintains a professional business image at all times with excellent personal grooming and presentation standards
  • A proven track record of planning, implementing and managing process driven outcomes
  • Highly efficient and organized with a keen sense of attention to detail
  • A team orientated person who is target and results driven while maintaining high service standards
  • Comfortable communicating with and managing requests of company executives and senior business leaders
  • Highly proficient in the use of Microsoft programs and other required software applications required to perform the role
  • Experience with monitoring and analysing on-line social media platforms and hotel guest feedback compiling data reports collected from these various platforms
  • Possesses excellent written and oral communication skills; English proficiency is mandatory
