Job Description

Position Title: International Government Central Agency Coordinator

Department: Operations              Reports to: President, International & Government Services

Position summary:

Responsible for the liaison between business customers and the Move Happy Agencies for the purpose of communication, shipment bookings and documentation, port agent functions, coordinating accurate invoices, liftvan control, and quality standards.  Ensure that booking, scheduling and documentation for the movement of International Household goods and Baggage Military shipments are completed in a timely and cost-effective manner while providing quality service to the business customer and shipper. This is a recently formed position in which processes and procedures are still being developed. This position will obtain all training and direction from off sight management.

Essential Duties:

  • Receive bookings from TSPs and coordinate scheduling with warehouses for performance of requested services.
  • Responsible for monitoring shipments to ensure timely movement and coordinate with warehouses. Maintain contact with TSPs regarding shipment movement and documentation.
  • Prepare, submit and distribute accurate documentation in a timely manner.
  • Update data in multiple software systems to ensure proper invoicing to TSP
  • Prepare documentation, arrange scheduling and monitor movement of ocean containers.
  • Responsible for quality review of documents and services performed to adhere to government regulations.
  • Provide ongoing training of warehouse personnel
  • Analyze warehouse availability and communicate blackout dates with TSPs
  • Prepare and distribute reports for management as requested
  • Assist in the development of processes, procedures and use of software systems
  • Actively provide creative solutions with any shipment issues.
  • Investigate proper processes on future business
  • Assists other departments as needed with special projects
  • Demonstrate and live out positive, respectful and engaged behavior toward coworkers, customers, vendors and our company on a daily basis
  • Skills:
  • Proficient in Microsoft Office: Word, Excel, Outlook.
  • Flexibility with constant changing processes.
  • Able to work with little or minimal supervision
  • Ability to read and interpret documents such as operating instructions and procedure manuals.
  • Ability to follow directions, yet fearless to ask questions or clarification
  • Strong attention to detail
  • Extremely organized with the ability to multi-task and meet deadlines in a fast-paced environment.
  • Strong oral and written communication skills.

Experience And Education: Required Education and experience: High school diploma/GED with 1-2 years progressively responsible administrative experience working in a fast paced environment
